Archiving and Data Integrity:

Image Archives

For all documents in the digital library, a digital archive is kept in a separate large format storage medium (referred to as "the vault"). For documents that are submitted to the NJEDL electronically, the original digital version, regardless of format, will be kept in the archive. If the file is modified for digital delivery (for example, a Word document converted to Acrobat), then a copy of the presentation format will be kept as well.

For print documents, both the print and digital versions are archived. When possible, the print copy will be kept here at the NJEDL, for reference. Also, uncompressed TIFF images will be kept in the vault for each page or image that is scanned. This files are referenced using the record ID number for easiest retrieval. The NJEDL typically scans documents at 300 dpi, in full color - however, exceptions have been made. As technology and standards for users improves, it is possible to re-create documents based on these high quality originals.

For maps and other photographic images, the uncompressed TIFF images can be made available to the public, on request.

Data integrity:

The NJEDL database, image files, and metadata records are backed up on a persistent schedule. In addition, archived snapshots of the database at periodical intervals are kept for reference. Every effort is made to ensure that the quality of the documents is at the highest level. The database and images are also checked periodically for data integrity. If requested, we can provide more information on this process.

Disclaimer on Scanning Accuracy

The NJEDL attempts to ensure that all its documents are presented in the most accurate manner. In the case of print documents, we always chose the presentation format that we feel best represents the intent and form of the original document. However, due to limitations in the scanning hardware, software, and processes, errors may occur. For this reason, we cannot guarantee the accuracy of any of our documents. Some possible sources of errors include: pages missing from documents, invalid OCR (optical character recognition), and warping or artifacting in maps and images. When an error is located, the document will be re-scanned or fixed as quickly as possible, and a notation will be made in the document's detailed citation record. Reporting possible scanning problems:

If you believe that there may be a problem with a particular document, please do not hesitate to contact us to report the problem. We will compare the scanned document to the original print copy to confirm accuracy. If necessary, we will re-create the scan from the uncompressed TIFF images, or rescan the document.
